1. Call to order
Betsy Paterson called the meeting to order at 5:02 pm.
2. Public comment
There was no public comment.
3. Approval of Minutes from March 9, 2009
Tom Birkenholz motioned to approve the minutes.
Kim Bova seconded the motion.
The minutes were approved.
4. Review Task List
Advertising: Cynthia van Zelm distributed copies of a draft logo that Michelle Childs had created. The committee discussed whether to remove “Weekend” from the logo.
Ms. Bova expressed preference for the black and white version as it would stand out on the green flyer.
Ms. van Zelm will provide Ms. Childs with the committee’s feedback.
Ms. Paterson said she spoke with Mark Paquette and reserved the first Friday in September to appear on his show with other Festival committee members. She also spoke with WILI about the Wayne Norman show.
Ms. van Zelm will speak with Joe Muro about WILI to discuss previous arrangements with WILI re: the Wayne Norman show and PSAs.
Art: Kathleen Paterson reported that Ms. Bova and Kristin Schwab had reviewed the outreach materials and that Ms. Paterson will mail them in the next week.
Children’s: Ms. K. Paterson said that there is no chair for the Children’s activities yet.
Ms. Paterson commented that the Children’s chair should be prepared to help with ideas for activities and for making sure everything is set-up correctly and there are enough volunteers during the event.
Ms. Bova will ask some people if they would like to volunteer as the chair for the Children’s activities.
Food: Ms. K. Paterson reported that she had drafted a letter to potential food vendors.
The committee asked Ms. Paterson to send the letter to all Mansfield restaurants and reiterated their desire to invite only Mansfield-located restaurants.
Music: Ms. K. Paterson said that Bruce John had confirmed with The James Montgomery Band and J Geils.
Ms. Bova suggested Bob Bloom as an act for the local acts block. Ms. Bova will contact Mr. Bloom to see if he is interested. Ms. Bova will also contact Spencer Hamlin to invite him to perform.
Ms. K. Paterson will create a list of potential acts for the next meeting.
Parade: Mr. Birkenholz reported that he and Barry Schreier had emailed all of the past participants with “Save the Date” information. He noted that most Parade participants will be confirmed over the summer. Mr. Birkenholz added that they would like to include floats this year.
Sponsors: Ms. van Zelm reported that she and Ms. Childs were in the process of revising the Sponsorship brochure for mailing next month.
Vendors: Ms. K. Paterson reported that the Benton Museum had confirmed that they will participate with a craft.
Volunteers: Ms. K. Paterson said that she had begun contacting past volunteers and had sent information to various offices at UConn including Student Activities, Greek Life, and Off-Campus Student Services. She had also contacted USG and GSS to recruit volunteers.
Ms. Paterson suggested that Ms. K. Paterson contact Julie Elkins at the Campus-Community Partnership.
Ms. Bova suggested having volunteers stationed in the parking lots to help with Parade traffic control. She said that these volunteers could periodically make announcements in the businesses that the road would be closing soon.
5. Celebrate Mansfield Weekend Update
Ms. van Zelm reported that Janet Jones had provided her with a list of logistical questions to consider for the wine-tasting. She and Ms. Jones will meet with Gail Parks from the Altnaveigh to discuss the event.
Ms. K. Paterson spoke with Sara-Ann Chainé about possible locations for the picnic. Ms. Chainé will discuss with Matt Hart and report back to the committee.
Ms. K. Paterson said that Bruce John told her the Eagleville Band would be willing to play at the picnic for $600. They would play a full set with no opening act. The committee liked this idea. Ms. K. Paterson will discuss it with Ms. Chainé and report back to the committee.
6. Discussion of Master Events List
Ms. van Zelm said that she would like to have the major events and activities determined by the next meeting.
7. Other
Ms. K. Paterson asked if the committee wanted to include the Storrs Farmers Market at the Festival; the Market (on Saturday) will be listed as an event during the Celebrate Mansfield Weekend. After some discussion, the committee decided not to include the Market this year.
The committee discussed the possibility of including crafters at the Festival. No decision was made, but the committee agreed to continue the discussion at the next meeting.
